# SaaS Data Hygiene & Normalization

A messy SaaS stack leads to wasted spend. SpendNexus provides built-in tools to help you maintain a clean, accurate inventory of your software.

## Vendor Normalization

When you add tools like "Slack.com", "SLACK", and "Slack Technologies", SpendNexus automatically normalizes them into a single **Global Vendor**.

* **Consistent Analytics**: All spend for a vendor is consolidated, even if entry names vary.
* **Rich Metadata**: Verified vendors automatically get logos and official website links.
* **Automatic Fixes**: If the system detects a potential duplicate, it will suggest a merge to keep your dashboard clean.

## Resolving Ownership Gaps

Unmanaged software is the biggest source of "zombie" spend. The **Ownership Audit** feature on your dashboard highlights tools that lack a designated owner.

### How to Fix Gaps:

1. Identify tools with the "Unassigned" badge on the dashboard.
2. Click the tool to open its settings.
3. Select a **Member** from your team to be the owner.
4. **Result**: The owner will now receive all renewal reminders and cost change alerts for that tool.

## Periodic Audits

We recommend conducting a "Data Hygiene Audit" once per quarter:

1. **Archive Old Tools**: Move subscriptions you no longer use to "Archived" status.
2. **Update Costs**: Verify that monthly amounts match your current invoices.
3. **Review Permissions**: Ensure users who have left the company are removed from the organization.
