Automated Alerts & Renewal Notifications

SpendNexus helps you stay ahead of SaaS costs by notifying you before money leaves your bank account.

Notification Channels

SpendNexus supports two primary notification channels:

Email Alerts

  • Availability: All plans (Starter and above).
  • Default Behavior: Email alerts are sent to the Subscription Owner. If no owner is assigned, alerts go to the organization admins.
  • Verification: No setup required. We use our secure transactional email system to ensure delivery.

Slack Alerts

  • Availability: Growth and Scale plans.
  • Setup: Requires a one-time workspace connection. See the Slack Integration Guide.

Alert Rules

Rules define when and why an alert is triggered. You can manage these in Settings > Alerts.

1. Renewal Reminders

Triggered based on the renewal_date of a subscription. Common configurations include:
  • Critical: 1 day before renewal.
  • Standard: 7 days before renewal.
  • Planning: 30 days before renewal (recommended for high-cost tools).

2. Budget Thresholds

Triggered when a Category’s total spend exceeds a defined percentage of its budget (e.g., Notify when “Infrastructure” hits 80% of its monthly budget).

3. Cost Changes

Triggered when a subscription’s cost increases or decreases compared to the previous billing cycle. This is vital for catching hidden price hikes.

4. Ownership Gaps

A weekly summary sent to admins if new subscriptions are added without an assigned owner.

Best Practices

[!TIP] Assign Owners First: Alerts are most effective when they go directly to the person managing the tool. Assigning an owner ensures accountability.
[!IMPORTANT] Multi-Alert Strategy: For expensive tools (>$500/mo), we recommend setting two rules: one at 30 days (for evaluation) and one at 7 days (for final confirmation).
